That's why the demo is a sales call, the price is a quote, and the product assumes a team big enough to have someone whose job is configuring it. For an operator running eight cars, most of that is cost and complexity with no return.

RentalPilot is deliberately the other thing: an all-in-one system for small and mid-size independents, from a single-branch shop to a growing multi-branch fleet. It covers the whole job — a branded booking site, calendar and reservations, fleet and maintenance, payments and deposits, customers, agreements, invoices and reports — and stops there. There is no enterprise tier hiding the useful features — everything in that list comes with your plan. A small number of genuinely optional extras are billed on top only if you turn them on, such as a vanity subdomain for your booking site, but nothing you need to run rentals sits behind them.

You pay one flat monthly fee based on how many vehicles you run, and it's published on the pricing page. There's a free tier for two vehicles so you can put real bookings through before paying anything, and paid plans start at $29/mo.

Critically, RentalPilot takes 0% commission. Payments run through your own Stripe account, so customer money goes straight to your bank and we never touch it. A busy month costs you exactly the same as a quiet one — which is the opposite of the marketplaces charging 10–25% of every booking, and of platforms that meter you per reservation.

Simple now, without a ceiling later

Small doesn't mean staying small. As you grow you can add branches with their own business hours and give staff access scoped to the branches they work at, with owner-only settings covering your pricing and configuration. Seasonal rates, length-of-rental discounts, protection plans, delivery, one-way returns and monthly long-term rentals are all there when you're ready for them.

Common questions

Is there really a free plan?

Yes — up to two vehicles and one branch, with no credit card required. It's the real product, not a time-limited trial, so you can take genuine bookings on it and upgrade when your fleet outgrows it.

I only have three or four cars. Is this overkill?

No — that's the size it's designed around. The parts you don't need (multiple branches, staff roles, seasonal pricing) simply aren't in your way until you switch them on.

I'm running on spreadsheets and WhatsApp. How hard is the move?

It's a CSV import for your fleet and customers, then your rates and branding. There's a preview step before anything saves, and duplicates are detected both against existing records and within the file, so a re-run is safe.

Do I need to be technical?

No. There's nothing to install or host — it runs in a browser. Setting up means filling in your vehicles, your prices and your branding, and there's a help centre plus an AI assistant inside the app if you get stuck.

What happens to the price as I grow?

You move up a plan as your fleet passes each tier's vehicle limit, and the full ladder is published on the pricing page. There are still no per-booking fees or commission at any size — growth costs you the same per rental as day one.
