What is Rental Pilot?
Rental Pilot is all-in-one rental management software for small, independent car-rental operators. It brings your bookings, calendar, fleet, payments, customers and a branded online booking site together in one place — so you can run your rental business instead of juggling spreadsheets and separate tools.
Who is Rental Pilot for?
It's built for small and independent operators — from a single-location shop with a handful of cars to a growing business running a few pickup locations. It's deliberately not an enterprise fleet system, so there's no bloat, no long onboarding and no sales project to get started.
How much does Rental Pilot cost?
Pricing is one flat monthly fee based on how many vehicles you run, starting at $29/mo. There are no per-booking fees and no commission on your rentals. You can see all plans on our pricing page.
Is there a free trial? Do I need a credit card?
Yes — you can start for free with no credit card required. Add your fleet and branding, share your booking link, and only move to a paid plan when your fleet grows.
Do you take a commission on my bookings?
No. Rental Pilot charges a flat monthly subscription only — we never take a percentage of your rentals. Every dollar your customers pay is yours, less your own payment processor's standard card fees.
How do payments and deposits work?
Payments run through Stripe and you connect your own Stripe account, so payouts go directly to you. You can take card payments, place refundable security-deposit holds, issue refunds, offer protection plans and send pay-by-link requests — all from inside Rental Pilot.
Can my customers book online?
Yes. Every operator gets a branded online booking site in your own colours and logo, where customers check availability and reserve a vehicle on any device. It supports multiple languages (English and Spanish today), and you can take reservations the same day you sign up.
Can I manage more than one location?
Yes, on the Growth plan and above. You can run multiple pickup locations — each with its own business hours — and filter your fleet, bookings and reports by location. See how many locations each plan includes.
Can I import my existing fleet and customers?
Yes. You can import both your vehicles and your customer list from a CSV file, so moving over from spreadsheets or another system is quick — there's a downloadable template and a preview step before anything is saved.
Can I get my data out?
Always. Your data is yours: export bookings, customers and financial reports to CSV, and download branded PDF invoices and receipts for any rental whenever you need them.
Can I cancel anytime?
Yes. Plans are month-to-month with no long-term contract — upgrade, downgrade or cancel whenever you like.
